How To Manage Cross Property Deposits

1.     Overview


In a Node of multiple properties, reservations or groups may have bookings across multiple properties. If this is the case the node can send a single request and confirmation for a deposit.

The deposit will then be paid as a single amount into one bank account, but can be split and captured on the individual reservations or groups at each property for their share.

In order for this the following must be in place

·        The additional properties must be configured as an alternative property with Cross Posting active.

·        Properties must be on the same date.

·        The user must have a cashier ID and rights to post at the selected property.

·        User must have property access to the alternate hotels.

·        Individual or Itinerary reservations apply.

·        Group events with more than one hotel participating in the event.

 

 

2.     Individual Reservations

Once confirmation and the query deposit has been received from finance that the deposit has been received and appears on the bank statement the user may then capture the deposit on Opera.

 



 


3.     Business Blocks / Groups

A single deposit may be received for multiple blocks if a group has an event for rooms and or catering and are staying across multiple properties. When a single payment has been received by one of the hotels this can be split and posted between the properties against the relevant deposit request rule on the block for each property participating in the event.

In order to ensure the correct information apears on the Quote/Confirmation and BEO sent to the client, a deposit must first be requested for both the Catering and or Rooms linked to a group.

It is important to note:

1.      You must have a Master Block with all the relevent sub-blocks for the catering and or rooms required for each hotel participating in the event.

2.      A deposit rule must be added to each sub-block for each property participating for the catering and or rooms booked at the property.

3.      The deposit request amounts will print on the stationary for the client to see how much they owe for each of the properties and a grand total for all particpating properties.

4.      Once confirmation and the query deposit has been received from finance that the deposit has been received and apears on the bank statement the user may then capture the deposit on Opera.







  

4.     Reconciliation of Cross Property Deposits

Once Deposits for other properties have been captured on Opera, Accounts will need to be reconciled and the  finance team will need to ensure that the relevent properties get the payment transferred into their bank account or transferred via intercompany.



   


 


5.     Reports

 

1.      Night Audit

1.1.   The following will be included in the Night Audit Reports for audit and reference

a)         Select: PMS > End of Day  > End of Day  Reports

·                Trial Balance

·                This will include the details of the Inter Hotel Ledger showing charges made at other properties and payments reconciled

 

 

 

 2.      Reconciliation

2.1.   Select: PMS > Miscellaneous > Reports

a)          Inter Hotel Account Transactions

b)         This is a report of what is visible from the Reconciliation Screen

c)          Owed From Other Properties

 

 

 

d)         Owed To Other Properties

The user can review the report for amount owed to and from and or payments only and or reconciled only.
